Business Process Management (BPM)
Business Process Management (BPM) is a discipline that enables organizations to identify, document and optimize their business processes. This can result in the automation of a business process using Business Process Management Software (BPMS). There are various platforms one can use to automate business processes. They all serve the purpose of enabling aspects of BPM.
Prior to any kind of automation, processes are analyzed and documented. These stages require planning, collaborations and tools that will help to illustrate what the process looks like resulting in a business process model. In other words, a business process model can be modelled using a BPMS. All stakeholders would review the model to ensure its accuracy. There are various ways to model a business process and the most common way is using the Business Process Management Notation (BPMN). In essence, BPMS have a simulation feature where users can simulate their business process to test different scenarios.
The motivation behind BPM is to make business processes more effective and efficient. This then means that key performance indicators (KPIs) measurement in BPM is critical. However, the team must ensure that the KPIs provide sufficient business value and that they align with the business goals. It is essential that these KPIs are specific, measurable, relevant, attainable as well as time-bound.
Benefits of BPM:
Automation
For processes that end up requiring automation, the primary objective of automation is to offload rote work that employees tend to be facing daily to a system that has automated triggers and follows specific business rules. Similarly, BPMS have workflow engines that contribute to the system requiring limited human interaction, ensuring that employees focus on other aspects of the business saving time and possibly money.
Analytics
BPMS offers analytics tools. These provide various levels of reporting. The system can also integrate with other reporting tools to provide analytics on the business process. Reports are closely linked to KPIs. Reports can also provide information about the performance of the tasks and actions of the business process. Analytics tools can also indicate if the process has any bottlenecks and provide opportunities for continuous process improvement.
